Job Description The Fellowship Program Coordinator supports the
planning and execution of the educational mission for the
fellowship program and plays a critical role in maintaining program
compliance, supporting fellows and faculty, and managing
recruitment, onboarding, and graduation efforts. The Program
Coordinator acts as the main point of contact for the fellowship
program and collaborates with program leaders and fellows to
develop and present strategies to ensure the viability and
enhancement of the program. Essential Responsibilities · Program
Administration: Provides administrative support to the Program
Director with the day-to-day operations of the fellowship program
and acts as the primary liaison and facilitator between fellows,
faculty, the GME office, and external institutions. Monitors and
manages fellowship budgets and program spending. · Accreditation
and Compliance: Ensures compliance with ACGME and GME requirements,
assists with updating the ACGME Accreditation Data System (ADS),
preparing for site visits, and surveys. Manages fellow duty hours
and collects procedure/case logs. Oversees data collection and
ensures the accuracy of program databases and program files. ·
Recruitment and Selection: Coordinates the recruitment process and
facilitates application/interview/selection process through the
ERAS/Thalamus platform. Updates the fellowship website and online
program information and maintains NRMP registration. Makes
recommendations for enhancements, development and implementation of
recruitment strategies. · Onboarding and Graduation: Coordinates
orientation for new fellows and organizes graduation and
credentialing for outgoing fellows. Processes required
documentation including licenses, visas and credentialing.
Maintains record on all trainees in accordance with established
requirements. Completes program verifications for current
fellows/alumni. · Evaluations and meetings: Coordinates the
evaluation system (New Innovations) to collect data and organize
timely feedback. Coordinates annual In-Training Exam. Compiles
evaluations and schedules meetings for the Clinical Competency
Committee and Program Evaluation Committee. Assists with summative
evaluations and submits milestones to ACGME. Coordinate semiannual
1:1 meetings between the program director and fellows, quarterly
fellowship meetings, wellness functions and other special events
for the fellowship throughout the year. Required Qualifications ·
Bachelor's degree · 3-5 years related work experience required in
academic medicine, residency/fellowship administration, or program
coordination. · Advanced skills with Microsoft applications which
may include Outlook, Word, Excel, Forms, PowerPoint or Access and
other web-based applications. May produce complex documents,
perform analysis and maintain databases. Experience with ACGME ADS,
New Innovations, ERAS, Thalamus, NRMP preferred. Competencies ·
Decision Making: Ability to make decisions that are guided by
general instructions and practices requiring some interpretation.
May make recommendations for solving problems of moderate
complexity and importance. · Problem Solving: Ability to address
problems that are varied, requiring analysis or interpretation of
the situation using direct observation, knowledge and skills based
on general precedents. · Independence of Action: Ability to follow
precedents and procedures. May set priorities and organize work
within general guidelines. Seeks assistance when confronted with
difficult and/or unpredictable situations. Work progress is
monitored by supervisor/manager. · Written and Oral Communications:
Ability to communicate clearly and effectively in English with
department leadership, faculty, staff, and trainees. Clearly
conveys expectations and feedback in a supportive manner. Strong
interpersonal skills, self-awareness, multicultural competencies,
empathy and social awareness required. · Teamwork : Ability to work
collaboratively in small teams to improve the operations of
immediate work group by offering ideas, identifying issues,
building trust, and respecting team members.
